The Office Relocation Challenge

Almost every business relocating an office discovers the same thing in the same order: the fit-out can be rushed, the furniture can be rushed, the signage can be rushed. The internet cannot.

The problem is lead time. You sign a lease with four to eight weeks before handover, then find out that a fibre service to the new address is quoted at three to four months because it needs a build. Nobody told you that when you signed, because nobody checks connectivity before a lease is signed. So the fit-out finishes on schedule, the desks go in, staff arrive on the Monday, and the office has no internet. Which in 2026 means no phones, no email, no CRM, no accounting system, no EFTPOS and no card payments.

Then there's the assumption that a service can simply be moved. It can't. A connection is provisioned to an address, not to a business, so relocating means a new service at the new site and a disconnection at the old one. Those are two separate orders with two separate timelines, and if you get the sequencing wrong you either pay for two sites for months or you lose the old site's connection before the new one is live.

Phone numbers are where relocations most often go wrong. Your business number is on your website, your invoices, your vehicle signage, your Google Business Profile and in the phone of every customer you have. If it's an old copper-based service tied to the old address, moving it can mean losing it. If a port is submitted incorrectly or on the wrong date, the number can go dark for days, and a dark number in a phone-driven business is silent lost revenue that never shows up in a report because the caller simply rings someone else.

Overlapping tenancy makes the timing harder. Most businesses hold both sites for a week or two so they can move in stages, which means both sites need to work during the overlap: staff at the new office need connectivity while the team still at the old office needs their phones. Handled as two unrelated accounts with two providers, that overlap becomes a fortnight of confusion about which calls ring where.

What all of this really costs is somebody in your business. Every item above lands on whoever drew the short straw of "handling IT for the move", and they end up chasing four providers, three order numbers and a port date while also doing their actual job. That person is usually the owner or the office manager, which makes it the most expensive way possible to project-manage a relocation.

And the new building brings its own surprises. The comms room is in a cupboard on the other side of the floor from where you wanted the desks. There's no data cabling to half the tenancy. The base building has a shared riser you need the landlord's permission to use. The previous tenant left a rack of equipment that isn't yours and isn't documented. None of this appears in the lease, and all of it lands on whoever in your business drew the short straw of "handling IT for the move".

    The single cheapest thing you can do in an office move is check connectivity at the shortlisted addresses before committing to one. Give us the addresses you're considering and we'll tell you what can actually be delivered at each, and how long it takes.

    That answer sometimes changes the decision. Two tenancies that look identical on a leasing brochure can be a 10-day connection and a four-month fibre build. Knowing that while you still have negotiating room is worth far more than discovering it after handover.

    Sometimes fibre genuinely is the right long-term answer for the new site, and the build takes as long as it takes. That's fine, as long as it isn't the thing that decides your move-in date.

    Summit can put a 4G service in on day one and run the office on it while the permanent connection is built, then cut over when it's ready. Your staff move in on the date on the removalist's invoice, not the date on the carrier's build schedule.

  • Your Numbers Move With You, Because They Aren't Tied to the Building

    A hosted phone system has no relationship with your street address. Summit's cloud phone system lives in our network, so your extensions, IVR menus, ring groups, voicemail and call routing are unaffected by the move. You unplug the handsets at the old office, plug them in at the new one, and they register and ring exactly as before.

    For existing numbers, including 1300 and 1800 numbers and geographic landline numbers, the port is ours to manage. We lodge it, we chase it, and we schedule the cutover around your move so there's no window where a customer calls and nobody answers. You tell us the date and approve the paperwork; that's the extent of your involvement. Moving to a hosted system as part of the relocation also permanently removes the problem: the next time you move, the phones are a non-event.

    If you're holding the old and new premises at the same time, we'll keep both connected and both reachable through the changeover. Calls can ring at either site, or at both, or follow your staff as they shift across. One phone system spanning two addresses means you decide where calls land, and you can change it the same day.

    A relocation handled the usual way means an ISP who knows only the new connection, a phone provider who knows only the handsets, a porting process that talks to neither, and a mobile carrier who has never heard of any of it. Every gap between them becomes a phone call you have to make.

How It Works

    That's the only real task on your side. Before or just after you sign, give us the new site (or the two or three you're deciding between) and the day you have to be trading. Everything after this is ours.

  2. 2 We build the plan and the timeline

    We check what's deliverable at the address, choose the permanent service, decide whether an interim 4G link is needed, and set the port dates for your numbers. You get one written sequence with a date against each step, and you approve it. No decisions you need a telco background to make.

  3. 3 We install and test while you're still trading at the old site

    The new connection goes in, gets tested and gets proven before anyone depends on it. Nothing at the old site changes yet, so a delay at the new one can never take your business offline.

  4. 4 We do the switchover on your date, out of hours

    Numbers port and call routing moves on the day you nominate, usually outside trading hours so no customer notices. Handsets plug in at the new office and register themselves. Someone from Summit is on the phone with you that day, not in a ticket queue.

  5. 5 We close out the old site for you

    We disconnect the old service only once the new one is proven, so there's no gap and no forgotten contract quietly billing you for a building you left. Closing the loop is part of the job, not something you have to remember six weeks later.

Frequently asked questions

How much of the move do we have to manage ourselves?
Very little, and that's deliberate. You give us the address and the date you need to be trading, approve the plan we send back, and sign the porting authority for your numbers. We handle the coverage check, the orders, the install bookings, the testing, the number ports, the switchover and the cancellation of the old service. If we need a decision from you, we'll ask for it in plain English with a recommendation attached.
How far ahead of an office relocation should we contact you?
As early as you can, and ideally before the lease is signed. A coverage check takes us very little time and can change which tenancy you choose. If you're already committed, four to six weeks is comfortable for most sites, and we can still work with less: a 4G interim service can be delivered quickly when a move is already underway.
Can we just move our existing service to the new address?
No, and this catches most businesses out. Services are provisioned to an address, so a relocation is a new order at the new site plus a disconnection at the old one. The important part is the sequencing: we install and test the new service before touching the old one, so you're never between connections.
Will we lose our phone number?
Not if the port is planned properly. We port existing numbers, including 1300 and 1800 numbers and geographic landline numbers, and schedule the cutover for a time you nominate. Moving onto a hosted phone system at the same time also means the number stops being tied to a building at all, so future moves don't put it at risk.
What if the new site's permanent connection isn't ready on move-in day?
That's what the interim 4G link is for. We connect the office on 4G so staff can work and phones can ring from day one, then cut across to the permanent service when it's delivered. You're never choosing between delaying the move and opening without internet.
Can you keep both offices running during the changeover?
Yes, and it's common. Businesses typically hold both sites for a week or two. We keep both connected and put both on the one phone system, so calls can ring at either site, at both, or follow staff as they move across. You can change where calls land on the day.
Do you handle the cabling and equipment inside the new office?
We deliver and terminate the service and we scope what's needed inside the tenancy at planning stage: where the connection lands, what cabling the desk layout requires, and what the comms room needs. From there we coordinate it as part of the move, working to your IT provider or cabler if you have one, or arranging a cabler if you don't. Either way it's sequenced into the same timeline as everything else, so it isn't a separate job you have to remember to book.
We're moving to a serviced office or coworking space. Is Summit still relevant?
Often yes, on the phone side. Shared building internet is usually included, but the phone system, your business numbers and mobile services are still yours to control, and a hosted phone system works over any internet connection. It also means that when you outgrow the space, your phones move with you again.
What if we're moving multiple sites, or consolidating several offices into one?
That's a project we do regularly. Consolidations need call routing to collapse cleanly into one site without customers noticing, and multi-site moves need staged dates so you're never moving two offices in the same week.
