Every business puts callers on hold. The question is what they hear while they wait. Dead silence makes a caller wonder whether the line has dropped, and a fair share of them hang up and try someone else. A default beep or a burst of unlicensed radio is not much better.

On-hold messaging replaces that gap with something useful: your trading hours, your website, the new service you have just launched, the answer to the question half your callers ring to ask. It is the one piece of advertising your customer has actually chosen to listen to, and it plays to people who have already picked up the phone to buy from you.

How It Works

  1. 1 Work out what the caller needs to hear

    We go through your call flow with you: the main greeting, the after-hours message, each queue, and the hold loop. Different points in the call need different messages, and most businesses have more places for audio than they realise.

  2. 2 Choose your production route

    Text-to-speech for speed and for anything that changes often, Evolved Sound for the audio your callers hear first. If you go the produced route, we introduce you and they take the scripting from there.

  3. 3 Write or approve the script

    Keep it short, useful and free of hold-time cliches. We are happy to review a draft before it goes anywhere near a microphone or a generator.

  4. 4 We load it onto your phone system

    File format, sample rate, volume levelling and which queues it plays on are our job, not yours. Getting this wrong is why so much on-hold audio ends up too quiet, distorted or playing in the wrong place.

  5. 5 Refresh it when the business changes

    New hours, new service, new promotion. Text-to-speech changes are immediate. Produced audio can be updated in segments so you are not paying to re-record the whole loop.

What is on-hold messaging?
It is the audio a caller hears while they wait: your greeting, the menu prompts, the message and music that play during hold, and your after-hours message. It replaces silence or a plain ringtone with information about your business.
What is the difference between text-to-speech and custom production?
Text-to-speech generates the audio from a script you type, using a synthetic voice. It is included with our Hosted PBX service, it is live in minutes, and you can change it as often as you like at no cost. Custom production through Evolved Sound uses a professional voice artist, a scriptwriter and licensed music, and it sounds noticeably better. Most businesses use text-to-speech for messages that change often and produced audio for the main greeting and hold loop.
Can I use my own music or a radio station?
Not legally, in almost every case. Commercial music and radio broadcasts are licensed for their own use, not for playback down your phone line, and a streaming service subscription does not cover business use either. Both of the options we offer use audio that is cleared for on-hold playback, which keeps the problem away from you entirely.
How long should an on-hold message be?
A loop of roughly two to four minutes works for most businesses: long enough that a waiting caller does not hear the same sentence twice, short enough that it stays relevant. Keep individual messages to a couple of sentences and separate them with music.
Can I have different messages for different departments?
Yes. Sales, support and accounts can each play their own audio, and you can run separate messages for business hours, after hours, weekends and public holidays. We configure that on your phone system when the audio is loaded.
How quickly can I get this working?
On Hosted PBX, text-to-speech can be scripted, generated and loaded onto your queues the same day. Custom production takes longer because it involves scriptwriting, a recording session and a mix, so allow a couple of weeks from brief to final audio.
Do I need a Summit phone system to use this?
For the text-to-speech generator, yes: it is a feature of our Hosted PBX service, so it needs your phone system to be on Summit Hosted PBX. Produced audio from Evolved Sound has no such requirement. We will load it onto Hosted PBX, SIP trunks or Microsoft Teams Calling, and if your phone system sits with someone else entirely, Evolved Sound can produce it for you directly. We would be glad to quote on moving the phone system across while we are at it.
Can I update the message myself later?
On Hosted PBX, text-to-speech scripts can be rewritten as often as you like, and we will reload the audio. Produced audio is updated in segments, so a change of trading hours means re-recording one message rather than the entire loop.
